opensourceCM contracts lifecycle management common questions asked by customers (part II)


Background: opensourceCM is a contracts lifecycle management platform. The service provide a Contract Authoring workflow, Multi language OCR and Indexing, inside the document search, Calendar and notifications workflow, support SSO (single sign on) and encrypted secured access. If you need a Negotiation Deal-Rooms and Users Data-Rooms (internal / External) or Flexible Bidding System with Advance Q&A and API (Application Processes Interface) Library with office365, BOX.COM, SalesForce, MS-Dynamics, NetSuite, OKTA, QuickBooks, Zoho CRM, Dropbox, DocuSign to mention just a few.

What kind of security measures are in place to protect our data?

The process of uploading/downloading of documents is fully encrypted. The access to all documents is encrypted. Documents are stored on a database on a virtual server on (AWS) AMAZON WEB SERVICES. The server is protected by a 2048-bit encryption keys. An antivirus and a firewall software protects the server. Each customer has his own instance , which prevents DATA leaking from other instance/customers. As mentioned, the data is backed up hourly, daily, monthly and yearly.

Would those measures interfere with ease of use?

Absolutely not. One of our main objective and goals is to maintain the ease of use of our application. If you wish you can speak with several of our referrals about this issue.

Is a Clause Library available?

Yes. Our application offer a full "authoring" process where a draft of any type of contract/document can be generated from limitless templates whereby predefined parameters and clauses can be changed. We design the Authoring module during the PoC phase.

Is there an Access Right Management to control who see what?

Access right management is offered from the folder level to the document level and database fields (Meta-data) level.

Is your system compatible with SalesForce? other enterprise systems?

Yes. We have several clients who are using our integration ability with SalesForce, BOX.COM, MS-Dynamics, NetSuite, OKTA, QuickBooks, Zoho CRM, Dropbox, DocuSign to mention just a few.

Does your system support automatic alerts (visual and/or via email). Is it compatible with Outlook?

Yes and yes.

Is it compatible with DocuSign?

Yes. Many clients use e-signature integration with DocuSign.

Are the contract templates in Word?

Yes.

Does it include a way to store and link contracts, notes, and related documents?

Yes.

Could we start small and upgrade to a larger version later?

Indeed, this why we offer the PoC phase.

What is estimated annual cost for system maintenance and support?

Included in the annual license is the cost for system maintenance or upgrade and support.

Is there space limitation for our document storage?

NO limits... The space cost is included in the USER count and the DOCUMENT count.
